What I do

Two services carry the practice: keeping the books every month, and fixing the ones that got away from you. Everything below is either included in the monthly fee or quoted separately, and the boundaries are stated plainly.

Ongoing

Monthly bookkeeping

Included in the flat monthly fee.

  • Transaction categorization from bank and credit card feeds
  • Bank and credit card reconciliation to the statements
  • Monthly Profit & Loss and Balance Sheet
  • An open items list — anything I can't categorize without you, I ask about rather than guess
  • Payroll and sales tax liabilities posted correctly, where applicable
  • Chart of accounts upkeep
  • Year-end handoff to your tax preparer, including answering their questions at no extra charge

Books are closed and reconciled monthly, with statements by a stated date.

One-time project

Cleanup & catch-up

Quoted as a defined project, separately from monthly service.

  • Prior months or years rebuilt and reconciled
  • Personal and business activity untangled
  • Chart of accounts rebuilt into something readable
  • Uncleared payroll liabilities identified and explained
  • A written record of what was changed and why

Priced with an hours estimate and a cap, agreed before I start, with a check-in partway through.

  • QuickBooks Online setup and file build
  • A/R tracking and A/P entry (you authorize every payment)
  • Manual payroll entry, for payroll that doesn't sync to QuickBooks
  • Sales tax reconciliation and filing support (you file the return)
  • 1099 vendor tracking
  • Fixed asset and loan schedules
  • Class or location tracking, so you can see which provider or location is actually making money
  • Monthly review call

Work I refer out

Knowing where my lane ends is part of the job. These stay with the right professional.

  • Run payroll. I record payroll in your books and confirm the liabilities clear. Calculating pay, remitting deposits, and filing 941s, 940s and W-2s stay with your payroll provider.

  • Prepare or file taxes, or give tax advice. I hand your tax preparer a clean file and answer their questions at no charge. The return, and any position taken on it, is theirs.

  • Insurance billing, coding, claim submission, or denial appeals. I record what your billing produces. I don't produce it, and I don't work inside your practice management system.

  • Independent verification of financial statements. That's CPA work and I'm not a CPA.

  • Move money. I never hold signing authority, initiate transfers, or pay bills on your behalf.

  • Financial, investment, or legal advice. Also fraud and forensic work, and worker classification decisions.

How pricing works

Monthly bookkeeping is a flat monthly fee, quoted after I have looked at your actual transaction volume and the number of accounts in play. It does not move because a month was busy, and asking me a question does not add to it.

Cleanup is quoted as a project: an hours estimate with a cap, agreed before I start. If it's going to run past the cap, we talk first. You won't open a surprise invoice.

I don't publish rates. Every file is different, and a number posted here would be wrong for most of them. You get a real quote after the free consult, and nothing before that costs you anything.
